Headshot Photography Proposal Template
In SendScope under Photography, as Headshot Photography
Headshots are sold by the head, and the entire commercial question is where the minimum sits. One person for thirty minutes is barely worth unpacking for; fifteen people in a morning is a good day.
These three packages make that visible to the buyer instead of leaving it to be argued about. The retouched image count is stated per person because that is the figure clients compare, and it is also the one that quietly consumes your evenings if you leave it open.
Taking the full amount on approval is normal in this trade and worth keeping. A corporate session is usually arranged by somebody who will not be in the photographs, and the simplest way to avoid chasing an office manager afterwards is to be paid before you set up.

The page your client opens
Not a screenshot. This is the real client page running on an invented deal. Pick a package and press approve to see what your client would see; nothing is sent or charged.
How it gets paid
Paid in full on approval
This template asks for the whole amount when the client approves, which is how advisory and ongoing work is usually sold. The payment happens on the same link the proposal is on.
Card or bank transfer, and you choose which per deal. If you want a package to bill every month instead of once, you set that on the package itself when you build the deal, and the client can cancel it from their own link.
Prices are a starting point in Australian dollars. Change the figures, the inclusions and the number of packages to suit what you sell.
The starting terms
What approving the page records
These sit above the approve button. The client reads them, and approving records that they accepted them.
These terms cover the booking you approve on this page.
- The booking. The deposit shown on this page holds your date and is not refunded if you cancel, because the date is then held for you and turned away from others.
- Payment. The balance is paid before the edited images are delivered.
- What you receive. The hours of coverage and the number of edited images are those described above. Images are edited in my own style. Unedited or RAW files are not included.
- Use of the images. You may use the delivered images for the purpose described above. Commercial use beyond that, including advertising, is quoted separately. I keep copyright and the right to show the work in my portfolio, and will not do so if you ask me in writing not to.
- If plans change. Tell me as early as you can. A date can be moved once, subject to availability, and the deposit moves with it.
- If I cannot attend. If illness or an emergency prevents me attending, I will arrange a replacement photographer where I can, and if that is not possible everything you have paid is refunded.
- On the day. Safe access to the location and the time listed above are needed for the coverage quoted.
Approving this page records that you accepted this scope, this price and these terms.
Starting terms, not legal advice. Read them, change what does not match how you work, and have a lawyer look at them if the work is large enough to warrant it. Your own default terms in Settings replace these automatically.
Before you send it
What to change first
The parts of this template most likely to be wrong for you.
- Your minimum head count, which these packages imply but never state
- Whether you travel to the office, which the corporate package assumes you do
- How many looks each person gets, since that is what really sets the pace
- What a reshoot costs when somebody is away sick on the day
