Podcast Production Proposal Template
In SendScope under Video & Audio, as Podcast Production
Podcast work is priced per episode and lives or dies on consistency, because a show that misses weeks loses listeners, and a client who loses listeners stops paying for editing before they stop recording.
The two packages split cleanly at that point. Editing only is a service: audio in, audio out. Full production is an operation, taking in show notes, transcription, chapters, publishing and the clips, and it is the one that actually keeps a show on air week after week.
Worth naming in your terms is what counts as an episode. A forty minute interview and a two hour roundtable are not the same job, and a per episode price with no runtime attached is an invitation to discover that the hard way, somewhere around episode six when the format has quietly changed.

The page your client opens
Not a screenshot. This is the real client page running on an invented deal. Pick a package and press approve to see what your client would see; nothing is sent or charged.
How it gets paid
Deposit, then balance
50% is due when the client approves, and the balance when you mark the work delivered. Both payments happen on the same link the proposal is on.
Card or bank transfer, and you choose which per deal. If you want a package to bill every month instead of once, you set that on the package itself when you build the deal, and the client can cancel it from their own link.
Prices are a starting point in Australian dollars. Change the figures, the inclusions and the number of packages to suit what you sell.
The starting terms
What approving the page records
These sit above the approve button. The client reads them, and approving records that they accepted them.
These terms cover the production you approve on this page.
- The booking. The deposit shown on this page holds the shoot date and is not refunded if you cancel, because the date is then reserved for you.
- Payment. The balance is paid before the final files are delivered.
- What you receive. The deliverables, their length, the formats and the number of cuts are those described above. Raw footage and project files are not included and can be quoted separately.
- Revisions. The rounds of revision included are listed above. A round is one consolidated set of notes. Further rounds, or changes after the final cut is approved, are quoted before they are done.
- Music and stock. Licensed music, stock footage and voice talent are charged as quoted and licensed for the use described above.
- Use of the work. You may use the delivered work for the platforms, territory and period described above. Wider use is quoted separately. I keep the right to show the work in my portfolio unless you ask me in writing not to.
- On the day. Location access, permissions and the people appearing on camera are arranged by you unless stated above.
- Cancellation. If you cancel, you are charged for work already done and costs already committed.
Approving this page records that you accepted this scope, this price and these terms.
Starting terms, not legal advice. Read them, change what does not match how you work, and have a lawyer look at them if the work is large enough to warrant it. Your own default terms in Settings replace these automatically.
Before you send it
What to change first
The parts of this template most likely to be wrong for you.
- A runtime cap per episode, which this price does not currently state
- Turnaround, since a weekly show has no slack anywhere in it
- How many speakers are included, because multitrack editing is a different job
- Whether you publish on their behalf, which needs access to their accounts
